How to add it to your email

  • GmailOpen Settings (the gear icon), then See all settings. On the General tab, scroll to Signature, click Create new, paste, and click Save Changes at the bottom of the page.
  • OutlookIn the new Outlook and Outlook on the web, go to Settings, then Accounts, then Signatures. Add a signature, paste and select Save. In classic Outlook for Windows, use File, Options, Mail, Signatures.
  • Apple MailOn a Mac, choose Mail, then Settings (Preferences on older macOS), then Signatures. Pick the account, click the add button, paste into the preview, and untick "Always match my default message font" to keep the styling.

Menu names change from time to time. If a step looks different, search your email app's help for "signature".

How to make an email signature that works everywhere

Email apps render HTML very differently, so a signature that looks right in one can break in another. All 8 templates here are built from nested tables with inline styles and standard fonts, which Gmail, Outlook and Apple Mail handle well.

Pick a template for how you email

Minimal and Compact keep the signature short and text-first, which suits cold email to people who do not know you yet. Photo left, Centered and Card add a face and more presence for clients and partners. Corporate leads with your logo.

Every contact and social field is optional. Anything you leave empty is dropped from the signature, so you only show the links you want people to use.

Photos, logos and icons

A signature image has to load from a public web address. Upload a photo or logo and it is resized in your browser, then hosted at an oppora.ai link that goes into the copied signature. You can also paste the link of an image you already host.

Social and contact icons are small PNG files hosted on oppora.ai, because Gmail and classic Outlook for Windows do not show SVG images. Many apps hold images back until the reader allows them, so each image carries alt text, and classic Outlook shows round photos as squares.

Copy signature or copy HTML

Copy signature puts formatted content on your clipboard, ready to paste into the signature box in Gmail, Outlook or Apple Mail.

Copy HTML gives you the raw code for tools that accept HTML, such as sending platforms and signature managers. Pasting raw HTML into Gmail shows the code as text.

How do I add an HTML signature in Gmail?

Paste the formatted version, because Gmail has no field for raw HTML. Click Copy signature here, then in Gmail open Settings, See all settings, and scroll to Signature on the General tab. Create a new signature, paste it and click Save Changes.

Why do images not show in my email signature?

Usually the image is not at a public link, or the reader's app blocks images until they allow them. Upload the image here so it gets a public link, or paste an https address you host. Files on your computer or in a private drive will not load for anyone else.

How do I add social media icons to my email signature?

Fill in the profile fields for the networks you use, as a link or a handle. Each one shows as a small icon that links to your profile, and empty fields are left out. If you prefer no images at all, the Minimal template shows them as text links.

What should a professional email signature include?

Your name, job title, company and one or two ways to reach you, such as a phone number and website. In sales, a LinkedIn link and a meeting link are common. Quotes, long legal text and large banners are best left out of cold email.

Can an email signature affect deliverability?

A little. Large images, many links and link shorteners all add to what spam filters weigh, which matters most in cold email. A short signature with one or two links on your own domain is the safest choice, and the Minimal template uses no images at all.

Is this email signature generator free?

Yes. The details you type stay in your browser. Only images you upload are sent to Oppora, so they can be hosted at a public link, and uploads are limited to two per hour. The signature carries no branding from us.
